The details

What to expect when you hand off the books

Everything that's included, how onboarding works, and what a normal month looks like once things are running.

What's included

Everything a good church treasurer does, done every month

One flat fee covers all of it.

Fund accounting

Restricted, designated and general funds tracked separately and carried forward month to month, so the council always knows what's spendable and what's committed. Why this matters.

Giving and contributions

Weekly giving recorded, counters' reports matched to the deposits, online giving from Vanco, Tithe.ly or Planning Center posted, and year-end statements ready for every donor.

Payroll for clergy and staff

Your payroll company (ADP, isolved, Paychex, and others) runs the checks and filings. We send them the hours and changes, record every payroll, and keep the church-specific parts straight: housing allowance and the different Social Security and Medicare rules for ministers.

Bill pay

Bills entered and paid. Bills come to one email address. Snap a photo or scan, send it in, done. Every payment shows up in your monthly report.

Bank and credit card reconciliation

Every account is reconciled every month: checking, savings, CDs and the credit card.

Monthly council and committee reports

A clear report on a set date: balance sheet, income statement, budget versus actual, and fund balances, so the council has it before the meeting.

Budget preparation support

When the finance committee builds next year's budget, it starts from real numbers: this year's actuals by line, giving trends, and what each fund already has set aside.

Conference and review support

When the conference, the denomination or an outside reviewer asks for the records, they're already organized, reconciled and documented. We work alongside whoever performs the review.

Cleanup and catch-up

Books that are months or years behind get rebuilt from the bank statements and brought current. Cleanup is scoped and quoted up front, not billed as a surprise.

QuickBooks Online, set up for a church

Set up for a church, with fund tracking built in. The church owns its QuickBooks file and its data.

How it works

From first call to first council report

Onboarding usually takes a few weeks. Longer if the books need cleanup first. I'll tell you which before we start.

  1. A free 20-minute church books checkup

You tell me about your accounts, funds, staff, and where the books stand. I'll ask some questions and tell you whether this is a fit.

    Book it online
  2. A written scope and a flat quote

A simple agreement that says exactly what's included and one monthly number. If cleanup is needed, it's scoped and priced separately.

Within a few days of the call
  3. Onboarding and cleanup

Your bank and giving platforms connected to QuickBooks, a QuickBooks file set up or straightened out for fund accounting, and a short handoff with your current treasurer and counters.

    Usually a few weeks
  4. Your first monthly council report

Balance sheet, income statement, budget versus actual, and fund balances, delivered on the same date every month from then on.

    Then every month, on schedule

Once it's running

What a normal month looks like

The exact dates get set with your church during onboarding.

Every week

Sunday's giving is posted from the counters' sheet and the online platform, and matched to the bank deposit.

As bills arrive

Bills are sent to one email address, entered, and paid on time.

Payday

Your payroll company runs payroll. We send them the hours and changes and record every payroll, housing allowance included.

After month end

Every bank, savings, CD and credit card account is reconciled to its statement. Fund balances are tied to the bank.

Before your meeting

The council report lands in your inbox on the agreed date, with a short note on anything worth a look.

Remote, and it works

Mostly remote, with visits when they help

Bank feeds, giving platforms and QuickBooks mean the day-to-day work happens from my home office in New Cumberland, PA, for churches anywhere in the U.S. A video call with your treasurer or finance chair is there whenever you want one.

If you're in central Pennsylvania, I'm glad to stop by in person too, for a handoff with an outgoing treasurer, a finance committee meeting, or budget season.

When someone at the church has a question, they email me directly.

Next step

Start with a free 20-minute church books checkup

We'll talk about how your church handles its books today, what's working, and what's not. You'll leave with at least one thing you can fix, whether you hire us or not.

Pick a time that suits you. The calendar opens in a new tab and takes about a minute.
